Separate active problems from planned work
Calls about leaks, clogged drains, no hot water, water heaters, and toilet problems need different follow-up. Ask whether the caller is reporting an active issue or requesting routine service, without attempting a repair diagnosis. A replacement inquiry may need an estimate appointment; a burst-pipe report needs the business’s urgent-call rule.
Your approved service area, hours, and service list guide the conversation. The AI should not quote an unconfigured repair price or promise a plumber is already on the way.
A practical plumbing intake
Start with the caller’s name, callback number, and service address. Capture the issue in their words, where it is occurring, whether it is ongoing, and their preferred contact time. Confirm important details aloud before closing the call.
For example, “There is water under the kitchen sink” becomes a leak request with a location and reported urgency. “Can you replace our water heater next month?” becomes a planned installation inquiry. Neither example establishes a cause or a repair cost.
Offer an appointment only when it can be confirmed
With a configured scheduling connection, AlwaysDesk can check real availability and offer an appropriate service appointment. Without that connection, it records a preferred time as a request for your dispatcher to review. A requested slot is not a booked visit.
After hours, ordinary drain or fixture requests can be captured for the next business-day follow-up. Urgent reports follow your approved routing rules. A live transfer needs a configured destination; otherwise the caller receives an honest callback or message fallback.
Keep safety and dispatch promises within scope
The front office gathers information and escalates. It does not walk callers through plumbing repairs, guarantee emergency availability, or invent arrival times. Set the escalation wording and who receives urgent messages before activation. Review both a routine call and an unavailable on-call destination during QA.
Choose minutes around your actual call mix
Launch includes 250 AI minutes for $199/month. Short routine requests and longer urgent intake consume different amounts of connected call time. Review recent call lengths and after-hours volume before choosing Growth or Scale; the cost guide explains overages. No setup fee. Cancel anytime.
Sample information to capture
Configure only the fields needed for this workflow. These are illustrative fields, not a real caller record.
- Caller and callback number
- Service address and area
- Problem and affected location
- Reported ongoing issue or urgency
- Preferred appointment or callback time
- Confirmed action versus pending request
Questions about this workflow
Can it give repair instructions?
No. Keep plumbing workflows focused on information collection and approved escalation, rather than potentially unsafe repair advice.
Will it dispatch an emergency plumber?
Only a real configured workflow can perform an action. AlwaysDesk must not claim dispatch, availability, or an ETA that has not been confirmed.
What can I try in the demo?
The current public demo uses a fictional HVAC business. It demonstrates the front-office conversation, not a plumbing dispatch setup.
